Using audito

What does audito do?

audito helps registered and applying NDIS providers get audit-ready. You answer guided questions about your organisation, and it builds a tailored set of policies, procedures, forms and registers. It then helps you put them into practice with an evidence checklist, staff sign-off, a compliance calendar, a self-assessment, a corrective action tracker, a mock audit and practice interviews.

Where do I start?

Start with Guided set-up. Your answers decide which documents you get and how they are worded. When it is done, generate your documents, then work through the evidence checklist and the compliance calendar.

What is Ask audito?

Ask audito is the built-in assistant. Ask about a set-up question, NDIS registration groups, the Practice Standards or what a document covers, and it can draft text for you to edit. Its answers can be wrong and are not legal advice, so confirm important decisions with the NDIS Commission or your auditor.

Can my staff use audito?

Your workers do not need their own accounts for most things. You can send each worker a private link to read and sign your policies (with short quizzes), and staff can take part in the mock audit from their phone. Your team list is kept in Team.

What is the Learning centre?

Short, practical lessons on NDIS audits and the Practice Standards. Each lesson has key takeaways, what auditors typically look for, a quick knowledge check, a checklist you can tick off and links to the related documents and screens. Your progress is saved.

How do I ask a question that is not answered here?

Use Ask a question on this page. Questions are answered in recorded sessions and shared here, and new answers go out in the monthly email. For quick help, use Ask audito.

Does audito work on my phone?

Yes. The app works in a mobile browser, and the staff sign-off and staff mock audit links are designed for phones.

How do I get alerts when the rules change?

audito monitors regulatory sources and publishes alerts in Alerts and updates. When a change affects your documents, you can review what changed and download re-issued documents. Choose which sectors you follow in your account.

Are you NDIS auditors?

No. audito is a software company. We are not an approved quality auditor, we do not audit or certify providers, and we have no role in your audit or in the NDIS Commission's registration decision. Your audit is done by an independent approved quality auditor you choose.

NDIS audits

What is the difference between verification and certification?

Verification is for lower-risk supports and is usually a desktop audit against the Verification Module: risk, complaints, incidents and human resources. Certification is for higher-risk or more complex supports and assesses you against the Core Module and any supplementary modules, usually in two stages including interviews and file sampling. Your scope of audit confirms which one applies.

Who carries out my audit?

An approved quality auditor, which is an independent body approved by the NDIS Commission. You choose the auditor and pay them directly. The auditor reports to the NDIS Commission, which makes the registration decision.

What is a scope of audit?

A document issued by the NDIS Commission through the Portal when you apply. It lists your registration groups, the audit type and the modules that apply. Auditors quote and plan from it.

What are major and minor non-conformities?

A minor non-conformity is an isolated lapse or partial gap, closed through an agreed corrective action plan. A major non-conformity is a systemic or serious gap or a risk to participants. It must be fixed and verified, and can stop the auditor recommending registration until resolved. The auditor sets timeframes under the Commission's requirements.

How often will I be audited?

Every provider has a renewal audit before their registration period ends. Certification providers also have a mid-term audit during the registration period. Your audit planner and compliance calendar keep track of the dates you enter. Rules change from time to time, so check the current guidance on the NDIS Commission website.

Will the auditor talk to my participants?

In certification audits the auditor usually asks to interview some participants and their supporters. Taking part is voluntary and needs their consent. Never coach a participant on what to say.

What are reportable incidents?

Six types of incident must be notified to the NDIS Commission: death, serious injury, abuse or neglect, unlawful sexual or physical contact or assault, sexual misconduct, and unauthorised use of a restrictive practice, when connected with your supports. Most must be notified within 24 hours of key personnel becoming aware. Rules change from time to time, so check the current guidance on the NDIS Commission website.

Do I need the supplementary modules?

Only if you deliver the related supports. For example, Module 1 for high intensity daily personal activities, Module 2A if you use regulated restrictive practices, and Module 5A for supported independent living. Your scope of audit lists them.

Can audito guarantee I will pass my audit?

No. Only an approved quality auditor decides whether you meet the NDIS Practice Standards, and they check what you actually do, not just your documents. audito gives you the documents, tools and preparation to put you in a strong position. The documentation guarantee covers the wording of the documents we generate, not the audit result.

Your documents

Which documents will I get?

A tailored set based on your answers: policies and procedures, forms, registers, handbooks and guides for the Core Module or Verification Module, plus any supplementary modules that apply. The Template library shows every document and whether it is in your set.

Can I edit my documents?

Yes. You can edit documents in the app or download them as Word and Excel files and edit them yourself. If your answers change, you can regenerate the set. Make sure the documents describe what you really do.

What happens when I change an answer?

Your documents are generated from your current answers. After changing answers, create a new version so the wording, names and settings flow through the whole set. Earlier versions stay in your history.

What is the documentation guarantee?

If an auditor raises a non-conformity about the wording or content of documents we generated for you, we fix those documents free of charge and send them back within 2 business days of receiving your claim. This covers our documents only. It does not cover whether your practice matches them, and it is not a guarantee that you will pass your audit. It applies while you have an active plan and your documents were generated from your current answers on the latest templates.

Are documents updated when the rules change?

When a regulatory change affects the templates, an update is published with a summary of what changed. You can review the changes and download re-issued documents filled with your answers.

Can I add my logo?

Yes. Upload your logo in the guided set-up and it is added to your generated documents.

Do I need to use every document?

Use the documents that match the supports you deliver. Some are only relevant in certain situations, such as medication or mealtime management. Each document has a guide explaining when it is used, who owns it and what the auditor checks.

Are the documents legal advice?

No. They are templates tailored from your answers to help you meet the NDIS Practice Standards. They are general information, not legal advice. Get professional advice for your specific situation where needed.

Audit preparation

How long does audit preparation take?

It depends on your size, your supports and how established your practices are. Documents can be generated quickly, but auditors want evidence that your system has been used over time, so start building records as early as you can.

What is the evidence checklist?

A list of the evidence an auditor is likely to ask for, matched to your registration groups and the standards. Tick items off as you gather them and note where each one is kept. Keep your evidence records in your own systems: audito does not store them.

What is the mock audit?

A step-by-step walkthrough of a real audit, from the opening meeting through document review, interviews, site visits and sampling to the closing meeting, followed by scored questions. Staff can take part through their own link.

How do practice interviews help?

They show the kinds of questions auditors ask each role, so you and your team can think through your answers. Rate how confident you feel and focus on the areas you are unsure about.

What registers do I need to keep?

Common registers include incidents, complaints, risks, continuous improvement, human resources and training, and conflicts of interest. The Excel registers in your document set cover these. Keep them up to date in Excel, or in your own software. Before the audit, build your evidence pack: it has a place for each register, and you mark which ones you will add and which are kept in another system, so the auditor knows where to look. Audit findings go in the Corrective action tracker.

How do I show my staff have read the policies?

Use Staff sign-off. Each worker gets a private link to read the policies on their phone, answer short questions and sign. You get a record you can show the auditor.

What is the self-assessment for?

It helps you check yourself against each applicable standard before the auditor does, and prepare your Portal self-assessment. Note what you do, who does it and which records prove it, and log any gaps as corrective actions.

How do I give my auditor access to my documents?

Use Auditor access to create a secure link for your auditor. You can see when it was used and turn it off at any time.

Can someone help me prepare?

Yes. Done with you adds an expert who works through it with you, including audit preparation and audit-day support, with a shared workspace and messages. For a one-off question or help with set-up, send a request from Expert help.

What should I do in the week before the audit?

Confirm the audit plan and schedule, run the mock audit, check your registers are up to date, arrange participant interviews with consent, brief your team with practice interviews, and put key records where you can find them quickly.

How does the policy gap check work?

Email your current policies (Word or PDF) to us with the subject "Gap check" and your organisation name. A person on our team reviews them against the NDIS Practice Standards and replies with what is covered, what is missing and recommended updates, usually within a few business days. Remove any participant names or health information before sending.

Your plan includes one policy gap check. Extra checks are quoted. You receive a written report you can view in the app under Documents > Policy gap check. Our reviewer is not your approved quality auditor, and the check is not an NDIS verification or certification audit. It looks at the wording of your policies only and does not guarantee you will pass an audit.

Plans and billing

Is there a free trial?

Yes. You can start with a free trial and explore the app before choosing a plan. No card is needed, and nothing is charged when the trial ends: we do not hold a card for trial accounts. Your answers stay saved if you choose a plan later. Current trial terms are shown when you sign up and on the Billing page.

How much does it cost?

Current prices are shown on the Billing page and on the pricing page. They include a one-off set-up fee for verification or certification and a monthly (or yearly) subscription, plus optional add-ons such as the website package. Prices are in AUD, GST inclusive. With monthly billing, the set-up fee and any one-off extras are charged when you start your plan, and your first monthly payment (and any monthly extras) one month later. With yearly billing, the whole first year is charged when you start your plan. Your auditor's fee is not included.

Can I cancel?

Yes. Plans renew automatically until you cancel. Cancel any time in Billing > Manage billing. Cancelling takes effect at the end of the period you have paid for, you keep access until then, and you are not charged again. Documents you have downloaded are yours to keep. Your account data is kept for 90 days after your plan ends, then deleted.

Can I add more than one add-on?

Yes. You can select several add-ons at once in Billing. Some services are quoted individually; choosing those sends an enquiry rather than adding them to checkout.

What does audit-day support include?

Audit preparation and audit-day support are part of Done with you, a one-off fee on top of your plan. It also includes a kickoff call, the guided set-up, your documents, the mock audit and interviews, and a review of your evidence and self-assessment. The auditor's fee is paid to your approved quality auditor. The details are shown in Billing.

Can you design a website for my business?

Yes. Free website design or redesign when you add our website hosting at $39/month (hosting, updates and maintenance). We design a professional website with your services, registration groups, complaints and feedback information and a contact form, then look after hosting, security updates, backups and maintenance. Domain registration is paid by you. Add the website package in Billing, or ask about it in Expert help.

Where are my invoices?

Open the Billing page and use the billing portal to see invoices and update your payment details.

Data and security

Where is my data stored?

Your account data and files are stored in Australia (Sydney), encrypted, and private to your organisation. A few service providers, such as email, payments and the assistant, handle limited details outside Australia. The privacy policy lists them.

Who can see my answers and documents?

Only your organisation's account, and people you choose to share with, such as your auditor through Auditor access. Our staff may access your account to provide support when needed.

Can I export my data?

Yes. You can export your account data from the Account page, download your documents, and export your corrective actions.

How do I delete my account?

Request deletion from the Account page. We will confirm by email before deleting.

Can I put participant information in audito?

No. audito is for your organisation's documents and audit preparation, and it is not designed to hold participant information. Do not enter or upload participant names, NDIS numbers or health information anywhere in audito, including notes, corrective actions and chat. Keep participant records and evidence in your own systems, and write notes in general terms (for example "incident register reviewed"). If we find participant information, we may delete it.

Does Ask audito see my documents?

Ask audito uses your set-up answers and the question you ask to give relevant answers. Do not enter participant names, NDIS numbers or health information in chat. Messages that look like they contain an NDIS or Medicare number are not sent.
